1. Tentative Bookings/Confirmation
We will hold a tentative booking for a period of 14 days. A deposit of 20% of the estimated value of the event, along with a signed contract and terms and conditions, is required in order to confirm your chosen date. If the Hotel has not received the contract and deposit payment within fourteen (14) days of the issue date of the contract, we reserve the right to cancel the booking and release the space without notification.
2. Package Prices
The prices are current at the time of quotation but may change at the Management’s discretion. All prices are GST inclusive. Prices may increase at any time without notice due to increased direct costs or changes in, or the induction of Government charges and taxes. Upon receipt of the signed contract and deposit, fixed prices will be confirmed.
3. Guaranteed Numbers
A guaranteed minimum number of guests attending the event are required seven (7) working days prior to the event. Charges will be based on the number of guests attending the event, or the guaranteed number, whichever is greater.
4. Payment
Full payment is required seven (7) working days prior to the event. This is to be delivered during working business hours of 9am – 5pm. Cash, bank cheque or credit cards are acceptable however, please note that all credit card payments received for events will incur a 1.5% surcharge. Personal cheques can only be accepted a minimum of fourteen (14) working days prior to the event date.
5. Cancellation Policy
(a) All cancellations must be made in writing to the Conference and Catering Sales Manager
(b) Notice prior to nine (9) months to the event – the full deposit will be refunded.
(c) Notice nine (9) to six (6) months prior to the event – 20% of the estimated total cost of the event cancellation fee will be incurred.
(d) Notice six (6) to two (2) months prior to the event – 50% of the estimated total cost of the event cancellation fee will be incurred.
(e) Notice two (2) months to fourteen (14) days prior to the event – 75% of the estimated total cost of the event cancellation fee will be incurred.
(f) Notice within fourteen (14) days prior to the event – 100% of the estimated total cost of the event cancellation fee will be incurred.
(g) All cancellation fees will be based on the contracted number of guests at the time of the booking.
